Role Overview

The Operations Manager supports and maintains the internal systems, processes, and infrastructure that allow RIDC’s programs and partnerships to operate smoothly and scale sustainably. This role ensures clarity, consistency, and follow-through across operations, governance, and internal coordination, allowing leadership to focus on impact and delivery.

This is a systems-oriented role for someone who brings order to complexity, anticipates operational needs, and supports the implementation of structures defined by leadership. Ongoing success is reflected in reliable systems, clear operational visibility, and consistent follow-through that reduces friction and operational lift for leadership and program teams.

This role does not have direct reports and works closely with the Executive Director.

Core Responsibilities

Operations & Systems

  • In the first year, success looks like well-documented systems, reliable operational rhythms, and clear visibility into projects, data, and follow-through tied to operational priorities.

  • This role supports and implements systems and structures defined by leadership, with ownership over day-to-day execution and operational consistency.

  • Develop and maintain SOPs, templates, and operational documentation that establish clear, repeatable ways of working.

  • Maintain internal reports, simple dashboards, and project timelines that provide leadership with visibility into progress, risks, and priorities.

  • Own planning calendars, documentation hubs, and shared drives to ensure information is organized, accessible, and reliably up to date.

  • Manage onboarding and offboarding processes for employees and contractors, ensuring systems access, documentation, and role clarity are in place.

CRM, Data & Lists

  • Maintain the structure, accuracy, and governance of RIDC’s CRM and centralized talent and alumni databases, including data standards, segmentation, and permissions.

  • Support routine reporting and data pulls for leadership, board materials, and partner updates.

Financial Operations & Administrative

  • Support payments, scholarship reimbursements, vendor coordination, and recordkeeping in partnership with leadership and finance.

  • Support quarterly Board operations, including calendars, meeting logistics, agendas, and materials.

  • Track operational follow-through, flag risks or timing issues early, and ensure commitments are executed as planned.

Qualifications

  • 3–5 years of experience supporting operations, project management, or organizational administration in a small or mid-sized organization

  • Strong attention to detail and comfort working within established and new systems and processes

  • Experience maintaining and using CRMs, project management tools (e.g., Asana), and Google Workspace for tracking, coordination, and reporting

  • Comfort supporting budget tracking, reimbursements, and financial processes, data collection in coordination with leadership and partners

  • Clear written and verbal communication skills, with the ability to keep multiple stakeholders informed and aligned

  • Proactive, dependable, and comfortable executing across teams and managing follow-through

  • Ability to travel domestically approximately 3–4 times per year for events or team needs

  • Candidates must be authorized to work in the United States

Salary & Benefits

  • Salary: $75,000 annual salary

  • Work Model: Hybrid environment (3 days in Philadelphia office)
